Sometimes you spend weeks showing someone properties, and then they start ghosting you. Or you find out they closed with another agent. Worse, you realize the homes you’ve been showing them were never in their budget to begin with.

Every agent has been there, and every agent knows how expensive and painful that mistake is. It’s happening more than most of us want to admit, and with existing-home sales continuing to decline, every transaction matters more.

Your time is your most precious resource. Don’t give it away to someone who isn’t committed or isn’t qualified. Here’s the three-step system I use to pre-qualify every buyer before investing too much time, so I know I’m working with someone who’s ready.

1. Start with a buyer interview to understand their motivation. Sit down with the potential buyer and have a real, friendly conversation to understand why they’re buying. Are they relocating? Is this a first home or a second home? What do they have for a down payment, and how realistic are they about what they’re purchasing? Getting their motivation dialed in early tells you a lot about whether they’re ready to move forward, and it makes every step after this easier. Once their motivation is clear and they’re genuinely ready to purchase, you move to step two.

2. Get the buyer representation agreement signed, then confirm financing. Are they committed to working with you, and are they financially able to buy? This is where the buyer representation agreement comes in. It’s no different from meeting with a seller and having them sign a listing agreement; it’s that person’s commitment to you that they’re willing to work together, and now you’ve got a written agreement before you start investing your time and professionalism into them.

Once it’s signed, the next move is to have them meet with your preferred lender. Make sure they’re qualified to purchase what they’re actually looking for, so you’re not out showing homes far above their budget.

Even in this market, sellers aren’t coming down aggressively on price, so keep buyers inside the range they can genuinely afford. If they haven’t connected with a lender yet, get them in touch with yours before you invest the time.

3. Become their trusted advisor and show the right homes. Now that the agreement is signed, think about your fiduciary duties to that buyer. Understand their financial picture: are they paying cash, or financing? If they’re financing, what will they qualify for, and how much do they have for a down payment? Typically, you leave the specifics to the lender, but knowing this upfront also helps you negotiate an offer down the road, because you understand their financial needs. Once their financials are in line, then it’s time to show homes, and make sure you’re showing homes they’ll actually qualify for, in the areas they truly want.

A mistake I see a lot of agents make: a buyer qualifies for, say, $300,000, and the agent is out showing them $350,000 or $400,000 homes, giving them false hope that they’ll negotiate the seller down to their number. I won’t say that never happens, but be realistic, because showing buyers homes they don’t qualify for is a disservice to both of you.
