Are you buried under your everyday to-do list and still trying to keep up with your follow-ups? You’re not alone in that. And sometimes the question becomes: How do you keep your pipeline moving without burning out? The answer isn’t working more hours. It’s managing the time you already have.
Here are three quick strategies that help you stay on top of follow-up even when you feel maxed out.
1. Done beats perfect every time. When my schedule is packed, my follow-ups fall apart in one place: when I stop following my process. My calendar, my schedule, that’s the structure that keeps me on track. I block out time for specific things and follow that calendar so I don’t skip or ignore the follow-ups that matter. Treat your follow-ups like appointments, because that’s what they are.
And when you catch yourself hesitating, procrastinating, or overthinking an important call, whether it’s prospecting a new lead or telling a client about an escrow issue that needs to be resolved, don’t overthink it. Just call them. More often than not, the call goes easier than you thought it would, and when it’s done, you feel great.
2. Nail your opener so every second counts. Your opener has to land fast, so have a go-to line ready. Something like, “Hey, I want to give you a quick update. Homes in your area are moving really fast right now, and I was thinking of you.” That one line gives immediate context, provides value, and shows purpose. I tell agents this all the time: our most valuable asset is time. Let’s not waste it. Get to the point and keep moving.
3. Keep it short and focused. When I make that call, whether it’s to a new prospect or an existing client, I get right to it. “Hey, this is Troy with Action Realty. I’m calling about this.” People are moving fast, and their attention spans are narrow, so respect that and get to the point right away. And if they blow you off, don’t take it personally. Follow up later with a quick text: “Hey, I gave you a call earlier today. Is there a better time to reach you?” Don’t give up. The money is in the follow-up.
In this business, every day feels like the busiest one. Remember that the money is in the follow-up. Make your calls, check in with your people, and don’t hesitate. When I say ‘just get it over with,’ I mean don’t let fear or hesitation get in the way of your purpose in this business.
